  • Company or organization name
  • Job title and role
  • Profile photo (optional)

Call Data

  • Call recordings: All calls made through Voxably are recorded in full. This is a core function of the Service.
  • Transcripts: Calls are transcribed in real time and stored alongside recordings.
  • Coaching reports: AI-generated analysis, scores, and feedback derived from your calls.
  • Call metadata: duration, timestamps, persona used

Payment Information

Payment details (credit card numbers, billing addresses) are collected and processed directly by Stripe. We do not store your full payment card details on our servers. We receive only the information needed to manage your subscription (e.g., last four digits, card brand, billing status).

Usage Data

  • Feature usage patterns and session information
  • Minutes consumed and subscription usage
  • Device and browser information

3. Call Recording Disclosure

All calls made through Voxably are recorded and stored. Recordings are associated with your user account and used for coaching analysis, report generation, and performance tracking. You consent to recording when you create an account and accept these terms.

Recordings are stored securely and accessible through your dashboard. You can review your call history, listen to recordings, and read transcripts at any time.

4. How We Use Your Data

  • Provide coaching: Analyze calls, generate coaching reports, and track your progress
  • Generate reports: Create AI-powered performance assessments and scoring
  • Improve the Service: Enhance AI quality, fix issues, and develop new features
  • Usage analytics: Track usage for billing, capacity planning, and platform performance
  • Communication: Send account-related emails, product updates, and support responses
  • Billing: Process payments, manage subscriptions, and handle invoicing

5. Data Sharing

We do not sell your personal data. We share data only with the following third-party service providers, solely to operate the Service:

  • Stripe — payment processing and subscription management
  • Twilio — telephony infrastructure for phone calls
  • ElevenLabs — AI voice technology powering conversational personas
  • OpenAI — AI analysis for coaching report generation
  • Supabase — database hosting and authentication
  • Vercel — application hosting
  • Resend — transactional email delivery

Each provider processes data only as necessary to perform their service and is subject to their own privacy policies. We may also disclose data if required by law or to protect our rights.

6. Data Isolation

Voxably is a multi-tenant platform. Each organization's data is isolated at the database level using row-level security (RLS) policies. Users in one organization cannot access data belonging to another organization.

7. Data Retention

  • Call recordings, transcripts, and coaching reports are retained while your account is active.
  • Upon account deletion request, your data will be permanently deleted within 30 days.
  • We may retain anonymized, aggregated data for analytics purposes after deletion.
  • Billing records may be retained as required by applicable law.

8. Your Rights

You have the right to:

  • Access your personal data and call recordings through your dashboard
  • Export your data, including coaching reports and call history
  • Delete your account and all associated data
  • Correct inaccurate personal information in your account settings
  • Opt out of non-essential communications

9. CCPA & GDPR

If you are a California resident, you have the right to know what personal information we collect, request deletion of your data, and opt out of the sale of personal information (we do not sell your data).

If you are in the European Economic Area (EEA), you have rights under the GDPR including access, rectification, erasure, restriction of processing, data portability, and the right to object. Our legal basis for processing is contractual necessity (to provide the Service) and legitimate interest (to improve and secure the Service).

10. Cookies

Voxably uses minimal cookies, limited to authentication and session management. We do not use advertising or tracking cookies. No third-party tracking scripts are loaded.

11. Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, row-level security policies, and secure authentication. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

12. Children's Privacy

Voxably is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Your continued use after changes take effect constitutes acceptance of the updated policy.
